Responsibilities for event safety, the rules that apply where children or vulnerable adults are involved, and how to report an incident.

Artistover is not present at events. Safety at an event is the responsibility of the organiser, the venue and the providers working there. This policy sets out what we expect from each of them and what we do when something goes wrong.
If someone is in immediate danger, contact the emergency services first. Report it to us afterwards.
1. Who is responsible for what
The venue is responsible for the safety of the premises: fire safety, evacuation, capacity, structural safety, electrical and gas safety, and the conditions of its licence.
The organiser is responsible for the event: the plan, the numbers, crowd management within the venue capacity, any activity they bring in, and telling guests what they need to know.
Each provider is responsible for their own work and equipment: safe operation, competent staff, valid certification, and a risk assessment where the activity needs one.
Guests are responsible for following the venue rules and the safety instructions given to them.
2. Capacity and crowd safety
Never exceed the lawful capacity for the layout being run. Capacity is set by the licence and the fire risk assessment, not by how many people can physically fit.
Where an event is large enough to need stewarding, security or a crowd management plan, the organiser must arrange it before the event, not on the day.
3. Risk assessment
Activities that carry real risk need a written risk assessment and appropriate insurance. That includes pyrotechnics and open flame, rigging and working at height, inflatables and fairground equipment, fire performance, animals, water, and anything involving vehicles.
A provider offering these must hold the certification, the insurance and the assessment, and must be able to produce them. A venue and an organiser should ask for them.
4. Children and vulnerable adults
Everyone with an Artistover account must be at least 18. Children can attend events, and providers can be booked to work with children, but the account and the booking are held by an adult.
Anyone working unsupervised with children or vulnerable adults must hold the background check their role requires, and must be able to produce it. Providers must not offer that work without it.
- Do not arrange to be alone with a child at an event without the agreement of a person responsible for them.
- Do not contact a child directly through the platform or afterwards.
- Do not photograph or publish images of a child without the consent of a person with parental responsibility.
- Do not serve alcohol to anyone under 18, and check age where there is any doubt.
- Follow the safeguarding policy of the venue or the organisation you are working for, where one applies.
Any concern about the safety of a child is reported to the relevant authority. We act on these without waiting for the outcome of an investigation, and we do not treat them as ordinary complaints.
5. Reporting an incident
Report a safety incident connected to an Artistover booking as soon as you reasonably can, and in any case within 72 hours, through the booking or by writing to contact@artistover.com.
Tell us what happened, when, where, who was involved, whether anyone was hurt, and whether the emergency services or any authority attended.
Report the incident even if it has been resolved between the people involved, and even if nobody was hurt. It may show a pattern we need to act on.
6. What we do
We investigate reports proportionately. We may restrict a listing or an account while we do, and we may pause payouts on the booking concerned.
We cooperate with the police, licensing authorities, safeguarding bodies and health and safety regulators, and we will provide information where we are legally required to or where it is necessary to protect someone from harm.
Where a provider, a venue or an organiser presents a risk to people, we remove them from the platform. That decision does not wait for a prosecution or a finding by another body.
7. What we do not do
We are not present at events, do not supervise them, do not inspect venues, and do not provide security, medical cover or insurance.
Nothing in this policy makes Artistover responsible for the safety of an event or transfers any duty from the venue, the organiser or the provider to us.
