Guest Privacy and Event Participation Notice

The organiser of the event decides what guest information is collected and why. For that information, the organiser is the controller and is responsible to you under data protection law.

Artistover provides the tools that collect and store it, and acts as a processor on the organiser instructions for that part.

Artistover is a controller in its own right for the account you create with us, for security and fraud prevention, and for the payment record where you bought a ticket.

If you want your information removed from an event, contact the organiser. If you cannot reach them, contact us and we will help.

Depending on the event, this can include the following.

Dietary requirements, allergies and accessibility needs can reveal information about your health, which has extra protection in law.

This information is collected because you have given it so the event can be run safely for you. It is shared with the organiser and with the venue or caterer who needs it to act on it, and it is not used for anything else.

You do not have to give it. If you do not, the event may not be able to accommodate the requirement.

The organiser and any collaborator they have given access to can see the guest list and the responses.

A venue or a caterer receives the information they need to deliver: numbers, dietary requirements, allergens and seating. They should not receive more than that.

Other guests see only what the organiser has chosen to make visible on the event page. Your dietary requirements and your contact details are not shown to other guests.

Being invited to an event does not give the organiser permission to market to you afterwards, and it does not sign you up to anything with Artistover.

If an organiser sends you marketing you did not agree to, tell them, and tell us. Using a guest list for unsolicited marketing breaches our terms and we act on it.

Guest responses and event data are kept while the event is live and for a period afterwards so the organiser can settle accounts and deal with any issue arising from the event.

Ticket and payment records are kept for 7 years because tax law requires it. Check-in records are kept with the event record.

When an organiser deletes an event or their account, guest data associated with it is deleted or anonymised, other than records we are required to keep.

You have the right to access your information, correct it, have it erased, restrict or object to its use, and receive it in a portable form.

Because the organiser decides what is collected, ask them first. They must respond to you under data protection law.

Where the request concerns your Artistover account, your ticket or your payment, write to privacy@artistover.com and we will handle it directly.

You can complain to the Information Commissioner Office at ico.org.uk.

Organisers and providers often photograph or film events. Where images will be used to promote a business or the event, the organiser should tell guests before the event and give them a way to opt out.

If you appear in an image published on Artistover and want it removed, contact us and we will pass it to the person who published it and follow up.
