Customer and Event Organiser Terms
What you agree to when you search, plan an event, invite guests and book providers through Artistover.
Version 2.0 · Effective 28 July 2026
The official legal document is provided in English.
Artistover is operated by Artistover Limited, a company registered in England and Wales with company number 17285593, whose registered office is at 167-169 Great Portland Street, 5th Floor, London, W1W 5PF, United Kingdom.
These terms apply when you use Artistover to find and book services or venues, and when you use Event Studio to plan an event, invite guests, sell tickets or collect contributions. They sit alongside the Platform Terms of Use.
1. Booking is a contract with the provider
When a provider accepts your booking, you enter into a contract with that provider for the service or the venue. Artistover arranges, records and processes that booking, but is not a party to it and does not deliver the service.
The provider sets what is included, the price, the availability, the cancellation policy and any house rules. Read the listing, the package and the quote carefully before you confirm. What is shown at the point you confirm is what you are agreeing to.
2. Requests, quotes and confirmation
Depending on the listing, you may send a booking request, accept a published package, or receive a custom quote built from your brief. A request or an enquiry is not a booking. Nothing is confirmed until the provider accepts and the first payment succeeds.
A quote is valid for the period stated on it. If it expires, the provider may issue a new one at a different price. Changes you ask for after confirmation may change the price, and any change that affects the amount payable must be agreed by both sides before it takes effect.
Our Marketplace Booking Terms explain the booking flow, changes and provider acceptance in detail.
3. Paying
Where a booking is more than 7 days away and the provider offers a deposit schedule, you pay 50% when the booking is confirmed and the balance is collected automatically 7 days before the booking starts, using the payment method you used at checkout. Bookings made inside that window are paid in full at confirmation.
The total you pay is shown before you confirm. Artistover does not add a separate buyer service fee. Where a provider charges for travel, add-ons, menu selections or extra hours, those appear in the total.
If a payment fails, we will tell you and may retry. A booking whose balance is not paid may be cancelled by the provider under their cancellation policy.
4. Cancelling, rescheduling and no-shows
Each listing shows the provider cancellation policy that applies to your booking. Refunds are calculated from what you have actually paid, according to that policy and the timing of the cancellation.
If the provider cancels, you receive a full refund of everything you have paid for that booking. If you do not attend, or the venue or service cannot be delivered because of something you were responsible for, the provider cancellation policy applies and a refund may not be due.
Our Cancellations, Refunds and Rescheduling policy sets out the windows, the calculations and how serious disruption outside anyone control is handled.
5. Planning an event
Event Studio lets you build an event, add stages and schedules, select venues and services, invite collaborators, publish an event page and manage guests. You are the organiser of your event and you are responsible for it.
You are responsible for the accuracy of what you publish, for having permission to use any names, logos, images or artist billing you include, for the lawfulness of the event, and for any licence, permission or notification the event needs.
Publishing an event page makes the information you have marked as public visible to anyone with the link or, where you choose, through Artistover. Check what is public before you publish.
6. Budgets and estimates are not quotes
Event Studio shows budget figures, cost breakdowns and totals to help you plan. Those are estimates based on what you have entered and on indicative prices. They are not binding quotes, they are not financial advice, and they do not commit any provider to a price.
The only figure that binds anyone is the total shown on a booking at the moment you confirm it, or the total on a quote a provider has issued to you.
7. Collaborators and co-organisers
You can invite collaborators and give them permissions over your event. You remain responsible for what they do with the access you grant, including changes they make to the event, messages they send to guests, and any booking they place on your behalf.
Remove access promptly when someone no longer needs it.
8. Guests and guest information
When you invite guests, collect responses, take dietary requirements, assign seating, issue tickets or check people in, you are handling other people personal information. You must have a proper basis for collecting it, use it only to run your event, keep it secure, and not use it for unrelated marketing.
Where you decide what guest information is collected and why, you are a controller of that information in your own right, and data protection law applies to you directly. Our Guest Privacy Notice explains what we do with guest information as part of running the platform.
Do not upload guest lists containing information you have no right to use, and do not add people to an event to send them unsolicited marketing.
9. Changes to your event
If you change the date, the venue, the line-up or anything else guests or ticket holders have relied on, you must tell them promptly and honestly. Where tickets have been sold, our Ticketing and Event Access terms set out what a change or a cancellation means for refunds.
Bookings you have already confirmed with providers do not change automatically when your event changes. Agree any change with each provider, and expect their cancellation policy to apply if the booking can no longer go ahead.
10. On the day
Treat providers, venues, their staff and other guests with respect. Follow the venue house rules, capacity limits, licensing conditions and safety instructions.
You are responsible for damage caused by you or by your guests. Our Damage, Deposits and Claims policy explains how deposits, evidence and claims work.
If something goes seriously wrong, or someone is at risk, contact the emergency services first. Then report it to us and to the provider under our Safety and Safeguarding policy.
11. Reviews
After a completed booking, the customer can review the provider and the provider can separately review the customer. Reviews must be your own genuine experience of that booking. Our Reviews and Ratings policy explains what is allowed and when a review is removed.
12. Your rights as a consumer
If you are booking as a consumer rather than for a business, you have statutory rights that these terms do not affect, including the right to services carried out with reasonable care and skill.
For most bookings made online you would normally have a 14 day right to change your mind. That right does not apply to contracts for services connected with leisure activities where the contract provides for a specific date or period of performance, which covers the great majority of event bookings made through Artistover. Where the right does apply, we will tell you at checkout and explain how to use it.
That dated-leisure exception relates to the booking supplied by the provider. It does not remove any separate cancellation right that applies when you buy an Artistover platform service, such as a paid subscription; the Subscription Plan Terms explain that right.
Where a provider fails to deliver what was agreed, raise it with them first through Artistover Messages. If it cannot be resolved, report it to us and we will look at the booking record, the messages and the evidence from both sides.
